01Scope and operator
STATE.REPORT (state.report, the “Site”) is owned and operated by ONE LLC (Ohio Entity Number: 5655041), an Ohio-based company in the United States. This policy applies to information we process when you browse the site (including its map and state guides), verify an email address, search by company name or entity ID, check name availability, search U.S. trademarks, export a report or contact us. Company searches initiated on state pages follow the same information-handling rules as searches on the main site. External websites linked from this site have their own privacy policies.
02Information we receive
For email verification and access, we process your email address, verification requests, sign-in sessions and account creation time. For each company search, we record the search mode, company name or registration identifier entered, applicable identifier type, selected state, request time, outcome and allowance used. A proposed name entered for a name-availability check is part of the search record even if it has not been registered. We also process network and request information, including IP addresses, to operate the site, enforce usage limits and investigate abuse. Support correspondence includes the information you choose to provide. Do not send passwords, verification codes or sensitive personal documents.
Trademark searches process the entered name, serial number or registration number and matching method to return results. When trademark details are opened, we store the serial number, search method and entered criteria, query time and allowance used to provide history and apply the repeat-view rule. Repeat views during the free-repeat period do not create another detail-history entry.
03Purposes
We use account information to verify access to your email and maintain your session. Search information is used to retrieve company and trademark records, provide preliminary name-check results, show your history and calculate your available searches. Network and browser information helps identify unusual requests, apply short-term rate limits and prevent automated misuse. Accounts do not share a free allowance simply because they use the same IP address. We use support correspondence to address the issue raised. We do not sell personal information, share it for cross-context behavioral advertising, or use verification email addresses for promotional mail.
04Access and service providers
Your search history is accessible through your authenticated account; it is not published or made available to other users. Authorized personnel may access records as needed to operate the service, respond to support requests or investigate abuse. Providers performing hosting, storage, security, email delivery and company-record retrieval process information needed for those functions. A record-retrieval request contains the company name or registration identifier, selected state and applicable search method; our application does not include your account email in that request. We may disclose information to comply with a valid legal obligation, respond to lawful process or protect users and the service. Information may be processed in the United States or other countries in which these services operate.
05Cookies and browser storage
The site uses necessary cookies to associate an email verification with the requesting browser and keep a verified user signed in. The verification cookie expires after 10 minutes; the session cookie expires after 7 days or is invalidated when you sign out. Blocking necessary cookies prevents verification and authenticated searches. We do not currently deploy advertising or audience-measurement trackers. A browser Do Not Track signal does not change the necessary processing described here.
When a search starts from a state page, its criteria are temporarily stored in the current browser session for transfer to the search page; newly generated navigation URLs do not contain company or trademark names, company identifiers, trademark serial or registration numbers, or the selected state. The search page deletes this temporary copy after reading it; search history and exported reports are retained as described below.
06Retention
Email verification records expire after 10 minutes and login sessions after 7 days. The same retention rules apply to company-name searches, entity-ID searches and name-availability checks. The temporary cache of full search results is retained for up to 10 minutes; this period does not apply to the exported reports and related export records described in section 7. Your account shows searches made during the preceding 30 days. This display limit is not a deletion deadline: authorized administrators can access earlier query records while those records are retained to administer the service, address support requests, investigate misuse or meet legal obligations. To protect accounts and prevent abuse, we record IP addresses used to sign in and search. Only authorized personnel may access these records to address security issues and enforce access restrictions. Access records are normally retained for 30 days; blocklist and administrative records are retained as needed for security management. Short-term rate-limit counters expire with their control periods. Browser verification may process technical browser signals and use necessary security cookies to distinguish automated requests; it does not establish a visitor’s identity. Expired records are removed by cleanup during normal service operation, rather than at an exact instant. Account details and cumulative usage records are retained while needed to maintain access and administer the service. Support correspondence is retained as needed to resolve the request and document its handling. Legal obligations or a specific dispute may require longer retention of relevant records. Operational logs and backups have separate lifecycles and may not be erased immediately when application data is removed.
Your account also shows trademark-detail query history for the preceding 30 days; this display period is not an automatic deletion deadline. Public trademark source data is stored separately from account query records, and updating public data does not publish your search history.
07Exported reports
An exported report includes the search content, search time and account email address. We retain reports and related export records to provide the service, resolve issues and manage security; they are not public and access is restricted to authorized users and personnel. Each report file and its corresponding export record are retained for 12 calendar months from that export. After expiry they are automatically deleted in batches during normal service operation, with retries for technical failures, rather than at an exact instant. This period also applies to reports exported before this policy update, measured from their original export time. Users manage copies already downloaded to their own devices. Search history follows the separate rules in section 6 and is not deleted solely because a report expires. You may request earlier deletion using the contact details in this policy; we handle requests in accordance with applicable law.
08Requests about your information
You can view your recent search history after signing in. To request access, correction, erasure or another right available under the law applicable to you, use the contact details below to write from the address associated with your account and describe the request. We may seek information reasonably needed to verify the request, and will respond in accordance with applicable law. To correct an underlying public company or trademark record, contact the registry responsible for that record; you may also report a display error to us.
09Security and age requirement
We use encrypted connections, access controls, protected authentication records and request limits. These measures reduce risk but cannot eliminate it. The service is intended for adults aged 18 or older. If you believe a child has supplied personal information, contact us so that we can investigate and take appropriate action.
10Changes and contact
The effective date appears at the top of this page. Material changes will be communicated through the site or another appropriate channel where required.
This policy is available in English and Chinese, and we aim to keep both versions consistent. To the extent permitted by applicable law, the English version controls differences in interpretation, without diminishing mandatory rights or legally required disclosures.
